Case 01 / 03
Employee records, credentials and CBC
For a compliance platform serving US preschools.
Context
A compliance management platform for US preschools: employee records, credentials and evidence, professional training, CBC applications, permits, reminders and audit history.
Employee data syncs with the HR system, the identity provider and a background-check vendor; every status change has to leave a trace.
Decisions
01
Build Organisation Settings on Sandbox first, ADMIN role only
- Why
- The commercial scope needed a working version early; each ADMIN belongs to one organisation and edits only that one.
- Trade-off
- No Super Admin in v1; deletion is a Deactivate, and the record stays for audit.
02
Training Hours is a display change, not a new calculation engine
- Why
- A closed period must not change retroactively; a document type counts once per period.
- Trade-off
- No quick approve; approval stays a separate step.
03
CBC applications of a terminated employee move to Closed / Archived
- Why
- Otherwise the application never reaches an end state, and the reminder emails keep firing.
- Trade-off
- Reactivating the employee does not reopen the application; an ADMIN has to change the status by hand.
Outcome
Three workstreams — Organisation Settings, training hours and CBC on termination — were written as tickets with acceptance criteria and pushed to ClickUp for build.
