Case 02 / 03

From job opening to offer

For an internal recruiting system replacing Excel and emailed forms.

Role
Business analyst – Product owner
Context
Internal recruiting

Context

An internal recruiting system replacing Excel, separate tools and emailed evaluation forms with one place: job openings, candidates, interviews, evaluations and offers.

The MVP scope was fixed in a feature list with an assumption per feature; every list has pagination, sorting and filters.

Decisions

01

Leave the candidate portal, CV parsing, auto-reject email and calendar sync out of the MVP

Why
Ship the core hiring loop first; HR still uploads CVs by hand and interviewers confirm schedules in the app.
Trade-off
Candidates cannot track their status, and interviews do not appear in a personal calendar.
02

Global templates only apply to new jobs; an evaluation template locks once a review is submitted

Why
A submitted review has to stay fixed; editing a rubric must not rewrite history.
Trade-off
Changing the rubric mid-round means opening a new round.
03

One offer per application; approval is separate from offer status

Why
Avoid duplicate offers and keep an approval trail; an offer can only be sent once Approved.
Trade-off
No automatic handoff to onboarding; the Admin notice is a manual action.

Outcome

The MVP feature list and 12 notification triggers were fixed; the ticket set v0.29–v0.32 was written against them.
